PROJECT MANAGER (Commercial)

PURPOSE OF JOB
- To provide an effective and high quality commercial translation service which meets clients’ needs and gives a good financial return to the business.
- To take a proactive role in maintaining positive relationships with clients and in obtaining new translation business.

KEY DUTIES AND RESPONSIBILITIES
Project manage translation assignments
- Ensure accurate records are maintained at each stage of a project, from customer request through to completion and invoicing.
- Prepare quotations. Negotiate and agree pricing, formats and timescales with the customer. Endeavour to meet all customer specifications and formatting requirements within defined profit margins.
- Allocate assignments to suitable linguists according to company guidelines, bearing in mind budgetary considerations and the linguists’ qualifications, skills and specialisms.
- Source new linguists when required according to selection, assessment and vetting procedures.
- Ensure assignments are produced and returned to clients according to the agreed specification, timescales and quality standards. Act as intermediary between linguists and clients in case of queries from either side. Ensure the smooth running of each project from start to finish, taking into account time and budgetary constraints.
- Quality check every assignment before submission to the client. Subject to the skills of the post-holder, this may include translation, editing and proof-reading.
- Ensure complaints are investigated and resolved according to procedures; and escalate to line manager when necessary.
Invoicing and claims processing
- Comply with invoicing procedures to ensure clients can be invoiced accurately and in a timely manner.
- Ensure linguists’ claim data are input accurately (e.g. word counts) and according to required timescales and quality standards.
- Ensure difficult or irregular claims are investigated and any issues or disputes are resolved appropriately.
Account management
- Maintain positive relationships with clients.
- Keep regular contact with key clients with the aim of generating repeat business.
Sales, marketing and business development
- Assist with the marketing of the company and gaining new business through attending client meetings and events such as book and business fairs; and suggesting or following up leads etc.
- Be aware of all the activity and how your own contribution affects overall company performance.
Team working
- Work with colleagues to provide excellent customer service across the whole Group.
- Provide cover for other translation team members as required e.g. in times of high workload or absence.

Confidentiality and Data Protection
- Comply with the Data Protection and IT Security Policy.
- At all times maintain confidentiality, not disclosing to unauthorised persons matters of a confidential nature, for example information regarding staff, linguists, clients or service users, translated material or commercially sensitive information
- Ensure that confidential information held both physically and electronically is not accessible to unauthorised persons.
